Who is responsible?

Information collected by this website

This is a static set of pages with no form, customer file upload, payment processing, cookies, analytics, advertising pixels, or third-party scripts. The direct-enquiry link opens the visitor’s email app. Please do not attach files or include customer data in an enquiry. Larger CSV work is for business customers only, subject to agreed scope and secure transfer arrangements before any file is requested.

Hosting provider: Cloudflare Pages

Purpose: Deliver the website and protect its security and availability.

Lawful basis: Legitimate interests in providing a secure, functioning business website.

Recipients: Cloudflare and its service providers process the technical information needed to deliver and protect the site.

International processing: Cloudflare describes primary storage in the US and EEA and possible global processing, with transfer safeguards described in its privacy policy.

Technical information: Cloudflare may process IP addresses, browser/request details and security information. Neat Matter has added no analytics, advertising pixels, visitor-tracking scripts or separate access-log export.

Retention: Technical information is retained by Cloudflare under its service, security and legal retention rules; there is no single verified deletion period for all provider logs. Neat Matter does not maintain a separate visitor-log archive.

If you contact us

If you choose to email the configured contact, Neat Matter will receive your email address and message to respond to your independently acquired direct enquiry or privacy request. Fiverr-originating enquiries and orders must remain on Fiverr. Please do not attach customer files or include sensitive information.

Email and assistance providers: Google Gmail (neatmatter.uk@gmail.com). Richard Weir handles enquiries and may use OpenAI tools to help summarise requirements and prepare replies.

Purpose: Answer service enquiries, clarify supported requirements, prepare quotes and handle privacy requests. Richard reviews replies before sending. Please send no attachments, customer datasets, credentials or sensitive information.

Lawful basis: Steps requested before a contract where you would be the contracting person; otherwise legitimate interests in answering relevant business enquiries. Necessary legal or accounting records are kept to meet applicable obligations.

Retention: Closed enquiries that do not become orders are permanently deleted from the mailbox 30 days after closure. We remove enquiry-processing AI chats from our accessible chat history within 30 days of their first use for an enquiry. OpenAI then schedules deletion from its systems, normally within a further 30 days, subject to its stated exceptions. Necessary order, accounting or dispute correspondence is retained separately for the applicable legal or contractual need, with its retention period recorded when an order is agreed. Deletion from our accessible records does not guarantee immediate deletion from provider systems: Google and OpenAI may retain technical, backup or other copies under their retention and legal policies.

Recipients and handling: Richard Weir, Google as the email provider, and OpenAI when used for enquiry summaries and reply drafts. Customer files and attachments are not sent to AI tools. AI-assisted enquiries remain subject to human review; we do not use AI to make final acceptance or payment decisions. Enquiry chats are excluded from generating reusable local Codex memories. For manual handling, put “Manual handling” in the email subject.

International processing: Google and OpenAI may process information outside the UK, including in the United States. Their published privacy policies describe international processing and applicable transfer safeguards; we do not promise UK-only storage or a fixed location for this workflow. This free Gmail account is not represented as a Google Workspace service.

External Fiverr links

Service links leave this website and open Fiverr. If you visit Fiverr, Fiverr processes information under its own terms and privacy information. Do not send files through this website, email enquiry link or social messaging. Existing Fiverr services use their authorised Fiverr order route and file boundaries.
